Grocery Retailer

The retailer's business operations are rather intensive: the number of operated stores is permanently changing, new product categories appear, promotions and special prices arise. If the operational planning lags behind the pace of the retailer's business process, it can cause risks of a decrease in the chain's revenue.

The Client Situation

The Client’s medium-term planning was built on the basis of Excel spreadsheets. Separate stores recorded into tables detailed information about goods, turnover and frequency of supply.

All information was consolidated manually in a head office. The process of structuring data was so difficult that the Client could only estimate the most important operational indicators such as turnover and logistics between distribution centers and stores. It was impossible to maintain the primary level of drill-down analytics for other metrics.

The Challenge

We were challenged to improve the quality of the Client's planning by automating retail medium-term planning. The system should allow drill-down analytics and operational planning at a high level of detail. A range of head office departments should have access to plans. Changes in the categorization system should be displayed immediately to all users.

The Solution

Our team structured the Client's medium-term planning process and suggested to the Client implement Speadym, a business intelligence and operational planning system. The system helped to unify circulation of data due to universal reporting forms and introduced directories for categorised goods and other items.

All stores were integrated into a single accounting system, which made it possible to quickly exchange data on product turnover, promotions and prices with the central departments. Indicators such as the turnover in individual stores, logistics and others were calculated immediately after all necessary data is entered. Operating detailed data, users could build drill-down analytics with focus on individual stores, product categories, and separate goods.

The Client Situation

The Client implemented a business management system for the first time. The company highlighted that it is important to consider the following items:

  • Flexible privacy configuration

  • Multi-register data entry

  • Self-service of calculation models

  • Wide availability of data dimensions in one report

The Solution

We proposed to implement Spreadym as the basic business performance management system. As Spreadym supports multi-register input, we created and implemented a basic form for entering all accounting items, which could recalculate the result when baseline data changes.
